Facilities Manager

As a Facilities Manager at Vivendo, you will play a pivotal role in overseeing the efficient and effective operation of all aspects related to the physical workspaces. Your responsibilities will include opening new outlets in various locations, including Malta, Cyprus, and Greece. Additionally, you will be tasked with the maintenance, security, and safety of facilities and implementing strategies to optimise space utilisation and foster a productive work environment.

Key Responsibilities:

  1. New Outlet Expansion:
  • Lead and coordinate the process of opening new outlets in diverse locations, ensuring smooth operations and compliance with company standards.
  1. Facilities Maintenance:
  • Develop and implement preventative maintenance programs to ensure the ongoing functionality of all facilities and equipment.
  • Coordinate and oversee repair and maintenance activities, including HVAC (Heating, Ventilation, and Air Conditioning) systems, plumbing, electrical, and general building infrastructure.
  1. Space Planning and Utilisation:
  • Analyse space requirements and plan for optimal space utilisation to accommodate the organisation’s needs.
  • Work closely with department heads to allocate and manage office space and warehouse effectively.
  • Implement and enforce security measures to safeguard employees, visitors, and company assets.
  • Ensure compliance with safety regulations and conduct regular safety inspections.
  1. Facilities Maintenance:
  • Develop and implement preventive maintenance programs to ensure the continuous functionality of facilities and equipment.
  • Oversee repair and maintenance activities, addressing issues promptly and efficiently.
  1. Security and Safety:
  • Implement and enforce security measures to safeguard employees, visitors, and company assets.
  • Ensure adherence to safety regulations and conduct regular safety inspections.
  1. Space Planning and Utilisation:
  • Analyse space requirements and develop plans for optimal space utilisation to meet the organisation’s needs.
  • Collaborate with department heads to allocate and manage office space and warehouse effectively.
  1. Vendor Management:
  • Identify, negotiate, and manage contracts with external vendors for maintenance, cleaning, security, and other facility-related services.
  • Monitor vendor performance to ensure compliance with service-level agreements.
  1. Budget Management:
  • Develop and manage the facilities budget, including forecasting and tracking expenses.
  • Identify cost-saving opportunities and implement efficient resource allocation practices.
  1. Environmental Sustainability:
  • Implement and promote environmentally friendly practices within the facilities.
  • Recommend and explore initiatives to reduce the organisation’s environmental impact/ carbon footprint.
  1. Emergency Response and Crisis Management:
  • Develop and maintain emergency response plans to address potential crises or disasters.
  • Coordinate with relevant stakeholders to ensure a prompt and effective emergency response.
  1. Collaboration and Communication:
  • Foster positive working relationships with various departments and stakeholders.
  • Communicate effectively with employees to address facility-related concerns and provide timely updates.

Work Experience

  • Bachelor’s degree in management, business administration, or a related field (or equivalent experience).
  • Proven experience in facilities management.
  • Strong knowledge of building systems, codes, and regulations.
  • Excellent organisational and project management skills.
  • Effective communication and interpersonal skills.
  • Proficiency in relevant software and technology for facility management.
