HR Coordinator – Full Time

Job summary

The HR Coordinator will be responsible for a broad range of HR-related tasks, including maintaining accurate personnel records, administering HR systems, and addressing employee queries. This role requires a high level of   confidentiality, attention to detail and professionalism. of employee information. The incumbent will work closely with the Human Resources Manager to ensure the smooth and efficient operation of the HR department and will support payroll coordination and other finance-related HR functions.

Main Responsibilities

  • Maintain and update employee records on the HR management system at all times;
  • Assist with recruitment processes, including scheduling interviews and preparing relevant documentation as directed by the HR Manager.
  • Administer the employee benefits programme and assist in tracking benefits-related data.
  • Provide administrative support for HR functions, including benefits administration, payroll coordination, and performance evaluation processes.
  • Generate and maintain HR reports from the HR management system, ensuring accuracy and timely updates.
  • Prepare and maintain onboarding documentation and ensure a smooth onboarding process for new hires.
  • Act as a professional and approachable point of contact for employee queries, escalating issues to the HR Manager when necessary.
  • Contribute to the improvement of HR processes, suggesting efficiencies where appropriate.
  • Manage HR-related purchase orders, payroll reports, and process payments as required, in coordination with the Finance Department.
  • Organise employee-related events and support employee engagement initiatives.
  • Coordinate training logistics with providers and internal stakeholders, ensuring timely delivery with minimal disruption to operations.

Qualifications

  • MQF Level 4 or equivalent qualification in Human Resources, Business Administration, or a related field.
  • 1–2 years of experience in an HR role (would be considered an asset).
  • Sound understanding of Maltese employment law and HR practices.
  • Working knowledge of ATS and T&A systems.
  • Strong command of both English and Maltese.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organisational skills and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A collaborative, proactive, and team-oriented mindset.
  • Comfortable working with numbers and basic financial tasks, including payroll preparation and HR-related budgeting.
